1.Who Operates Advanced Rollups

Advanced Rollups is operated by Hogtown, based in Toronto, Ontario, Canada. You can reach us at support@hogtown.io.

2.Information Received Through HubSpot OAuth

When you install Advanced Rollups, HubSpot's OAuth authorization provides us with:

  • Your HubSpot portal identifier (hub ID) — used to associate your configuration and calculations with your account
  • An access token and refresh token — used to make authorized API requests to HubSpot on your behalf

These credentials are stored in our database and refreshed automatically as they expire. They are used only to perform the operations you configure.

3.HubSpot Data Accessed

To perform calculations, Advanced Rollups reads the following from your HubSpot account:

  • Company records and their associated properties
  • Deal records, including properties such as deal stage, pipeline, close date, amount, and any custom properties referenced in your rules
  • Deal-to-Company associations
  • Pipeline and stage definitions (to populate filter options)
  • Company and Deal property definitions (to populate rule configuration options)

If the optional e-commerce scope is granted, we also read line item records and their product associations to support product and product line filters.

Advanced Rollups does not store Deal property values or Company property values. Data is read from HubSpot in real time during calculation and is not persisted in our database.

4.Rule Configuration and Usage Information

We store the rollup rules you create, including:

  • Rule name
  • Calculation type (Sum or Count)
  • Source Deal property name
  • Destination Company property name
  • Filter settings (pipeline, stage, date range, product filters)

We also maintain operational records including:

  • Execution logs — when rules ran, result status, number of records processed, and any error messages. Retained for 30 days.
  • A short-lived cache of Deal-to-Company ID associations used to process webhook events. Retained for 7 days.

5.How Information Is Used

We use the information we collect to:

  • Authenticate requests from your HubSpot portal
  • Perform rollup calculations and write results to Company properties
  • Process webhook events when Deal data changes
  • Run scheduled recalculations
  • Diagnose errors and maintain the service

6.When Information May Be Shared

We do not sell your information. We may share information:

  • With service providers who help us operate the service (listed in Section 7)
  • If required by law, regulation, or valid legal process
  • To protect the safety, rights, or property of Hogtown, our users, or the public

7.Service Providers

Advanced Rollups is built on the following infrastructure providers:

  • Vercel — application hosting and serverless compute
  • Neon — PostgreSQL database

We do not currently use third-party analytics, advertising, or external logging providers.

8.Data Storage and Security

Data is stored in a Neon PostgreSQL database and processed through Vercel's serverless infrastructure. We use environment variable management and access controls to limit who can access production systems. OAuth tokens are stored in the database and are used only to make authorized HubSpot API requests.

9.International Processing

Hogtown is based in Ontario, Canada. Our infrastructure providers (Vercel and Neon) may process and store data in data centers located outside Canada, including in the United States. By using Advanced Rollups, you consent to this processing.

10.Data Retention

  • Execution logs: Deleted automatically after 30 days.
  • Deal-to-Company cache: Deleted automatically after 7 days.
  • Rule configuration and portal credentials: Retained while your portal is connected. No automated deletion period currently applies to this data. We retain it only as long as necessary to operate the service.

A formal data retention schedule for portal and rule configuration data has not been finalized. We will update this policy when it is.

11.Uninstallation and Deletion

When you uninstall Advanced Rollups through HubSpot:

  • Your rules stop running.
  • The Advanced Rollups card is removed from Company records in HubSpot.
  • Existing HubSpot Company properties and any values written to them remain in HubSpot unchanged — Advanced Rollups does not delete or modify them on uninstall.

Advanced Rollups does not retain Deal or Company property values from HubSpot. Your portal credentials and rule configuration may be retained in our systems after uninstalling. To request deletion of your account data, contact support@hogtown.io.

12.Privacy Requests

To request access to, correction of, or deletion of information we hold about your portal, contact support@hogtown.io.

13.No Sale of Customer Data

We do not sell your data or your users' data to any third party.

14.No Advertising Use

We do not use your HubSpot CRM data for advertising or marketing purposes.

15.Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy at this URL and update the effective date. We encourage you to review this policy periodically.
