Setup Guide

Get Advanced Rollups running in your HubSpot portal step by step.

Step 1

Introduction

Advanced Rollups creates filtered Deal metrics and stores the results directly in HubSpot Company properties. It helps teams maintain metrics such as year to date revenue, pipeline specific revenue, open pipeline value, and Deal counts without complex workflows, hidden intermediate fields, or custom code.

Before you start, make sure you have:

  • A HubSpot account with Super Admin or App Marketplace Access permissions
  • Deals associated with Company records in your portal — rollups calculate from associated Deals
Step 2

Install Advanced Rollups

  1. Click Install Advanced Rollups.
  2. Select the HubSpot account you want to connect.
  3. Review and approve the requested permissions.
  4. Complete the installation — you will be redirected back when it is done.
  5. Return to HubSpot to continue setup.
Optional scope: Advanced Rollups requests an optional e-commerce permission for product and line item filtering. If your portal doesn't use HubSpot Commerce Hub, this is skipped automatically and won't block the install.
Step 3

Add Advanced Rollups to the Company record

After installing, add the Advanced Rollups card to your Company record layout so you can create rules and trigger calculations.

  1. In HubSpot, go to Settings (gear icon, top right).
  2. In the left sidebar, navigate to Objects → Companies.
  3. Click the Record Customization tab.
  4. Under Default view, click Customize the right sidebar.
  5. Click Add cards.
  6. Find Advanced Rollups in the list and click it to add it.
  7. Drag the card to your preferred position.
  8. Click Save.
Tip:The card will appear on every Company record in your portal. If you don't see it immediately, refresh the page.
Step 4

Create a destination Company property

Rollup results are written to a Company property you choose. You need a number property on the Company object. If you already have a suitable property, skip to Step 5.

  1. In HubSpot, go to Settings (gear icon, top right).
  2. Navigate to Properties in the left sidebar.
  3. Select the Company properties tab.
  4. Click Create property.
  5. Set the field type to Numberand give it a descriptive label, for example “Closed Revenue YTD” or “Open Deal Count.”
  6. Click Create.

Create a rollup rule

  1. Open any Company record in HubSpot.
  2. In the right sidebar, find the Advanced Rollups card and open it.
  3. Select Create Rule.
  4. Enter a namefor the rule (for example, “Closed Revenue YTD”).
  5. Select the calculation type:
    • Sum — adds up the values of a Deal property across matching Deals
    • Count — counts the number of matching Deals
  6. If you selected Sum, choose the source Deal property to aggregate (for example, Amount).
  7. Select the destination Company property where the result will be written (the property you created in Step 4).
  8. Optionally add Deal filters to narrow which Deals are included:
    • Pipeline filter
    • Deal stage filter
    • Date filter — Year to Date, Last Year, or Last 90 Days applied to a Deal date field
    • Product and product line filters (requires the optional e-commerce scope)
  9. Save the rule.
Step 6

Calculate existing values

After creating a rule, select Calculate Now to calculate the metric for existing Company records.

Step 7

Automatic updates

Advanced Rollups automatically recalculates affected Company metrics when relevant Deal data changes. A scheduled recalculation also helps keep values current. Select Calculate Now whenever an immediate refresh is needed.

Step 8

Delete a rule

  1. Open any Company record in HubSpot.
  2. In the right sidebar, find the Advanced Rollups card.
  3. Find the rule you want to delete.
  4. Select Delete and confirm.

Deleting a rule removes it from Advanced Rollups and stops future calculations for that rule. The destination Company property and any values already written to it remain in HubSpot unchanged.

Step 9

Uninstall Advanced Rollups

  1. Open HubSpot Settings.
  2. Go to Integrations → Connected Apps.
  3. Find Advanced Rollups.
  4. Open Actions and select Uninstall.
  5. Confirm the uninstall.

After uninstalling:

  • All rules stop running.
  • The Advanced Rollups card is removed from Company records.
  • Existing HubSpot Company properties and previously written values remain in HubSpot unchanged unless you delete or clear them.
